Access a Guest's Stay information using the Modify Folio command:
Select Modify Folio from the Action Bar
Note: In the NEW look for Skyware, the Action Bar appears slightly different but retains the Modify Folio button.
OR
Click Modify Folio from the Registration section of the Full Menu.
To reach the Registration area:
Click the icon on the left for the Full menu.
OR
This will display the Full menu in a tabular form, with four sections, Registration, Status, Cashier and Other.
OR
The section on the top left here is the Registration section.
OR
Click on Modify Folio.
OR
When you select Modify Folio, the Select Folio screen will open, allowing you to search for a Folio.
OR
Currently the screen has no (Stay Information) Folios displayed. There are various options for you to select from. The default setting for the screen is to have the In-House option box checked. If the guest folio you wish to search for is in this category, you need only click the <<Press to Search>> link to activate the search.
Note: If the list provided is very large, use the search fields below your selection options to enter information and limit the search results. See Searching for Guests/Groups for more details. When entering information into the search fields, you do NOT need to hit return or enter - if you do so, this is the equivalent of clicking the <<Press to Search>> link and will generate the search.
Note: In the NEW look for Skyware, the screen functionality has been changed slightly, in that the screen does NOT automatically update after changing any of the folio type options. A search icon has been added to the end of the list of options.
When using the NEW look, this icon should be clicked to update and display the list of Folios. This allows you to select multiple options at once, rather than having the screen update every time different options are selected.
From the search results, click the row of the guest folio you wish to open.
On the Folio screen, use the Document Activity button to open the Document Activity screen.
When selected, the Document Activity screen will open.
If any activity has taken place for this stay with regards to documentation it will be shown here. The grid shows the activity date, system date, a description of the documentation, the User ID of the person associated with it. If relevant, the email address or mobile number the documentation was sent to is also shown, and if a signature was required, the document signed, and who by are also columns that may show information depending on the type of document.
The document activity screen shows the document activity by default sorted by Activity Date. It may also be sorted by System Date if preferred. You may search the data using the fields below the column titles to find specific data, by entering the desired term or description and using the "Search" button above the grid to show only the searched for information.
To open and view a copy of the documentation associated with the activity entry, click on the folder image next to the entry in the "Open" column.
The local tool bar of this screen also allows you to perform several actions:
Print List: Click the (printer and page) button to print out the listed items, ordered and sorted as on the screen. Clicking on this icon will open a new separate browser window, showing just the grid entries. From there you can select to save or print it, among other options.
Advanced Search: Click the (magnifying glass) button to perform a more detailed search for specific documents/activities.
Query Builder: Report writing and data extraction tool that will allow users to create Reports. Click the (Rubik's cube) button to allow
you to create a report using the pertinent information contained in this screen.
Stay Record: Click the button to RETURN to the Main Folio screen. Use when you are finished viewing the Document Activity screen.
